      A: Purchase a service package for your desired location online through the secure ecommerce process. We will then email your service agreement, forms and the US Postal Service Form 1583 (for all packages that include the business address). After you return your completed documents, your account will be placed in queue for setup.

      A: We are a commercial mail receiving agency registered with the United States Postal Service. To receive mail on your behalf, an USPS application must be properly completed and submitted to USPS.       A: Calls personally answered in your company name. There are different service levels of Live Answering: only email communication of calls answered (Standard); and calls screened and forwarded per your instruction, allowing you to decide whether to accept the call (Premium). Calls are answered during Virtual Office of NYC business hours, generally Monday – Friday, 9:00am – 5:00pm local time (except holidays; refer to Closure List). Overage and long-distance calls are charged to client and billed on monthly invoice. Calls can be forwarded to up to 2 designated telephone numbers.

      A: Each account is assigned a specific phone number that is tied to that company alone. Through the use of intelligent software and other technologies and processes, we program our systems to identify your number and bring up all the information you provided on the Receptionist’s screen when your number rings. It is transparent to the caller that he’s reached YOUR company.

      A: The auto-attendant will greet your callers with a personalized greeting, recorded by a receptionist. Calls can be sent to the voicemail system, which will be converted into a .wav file and emailed to you; or the system can have a dial by name/extension to up to 7 numbers that route to the same number; or can route to up to 7 different client external numbers. Callers shall hear your company’s name and have up to 7dialing options for callers (similar to “If you know the extension for the party you wish to reach, you may dial it now.”); all options directed to either tantamount voicemail box included or external client number(s). For unique voicemail boxes, additional monthly charges apply. International long distance charges apply.

      A: When a caller leaves you a message, the phone system emails you a .wav file containing your caller’s message and simultaneously removes the message from the voicemail box. Your email shall contain the message. Valid email address and account, appropriate audio software, and speaker(s) are required Client to refer to own technology information resources for assistance as well computers are different.

      A: You may receive your messages taken live by receptionist and sent by text to your mobile phone. Only applicable to live answering service packages.

      A: All live answering overages are charged at $1/call. While there is no rollover on unused calls, you could purchase a block of additional calls OR upgrade to the next package to take advantage of discounted rates prior to month’s end to avoid the overage charges.

      A: The Starter, PRO and PRO PLUS packages include 1 voicemail box, and up to 7 dialing extensions via the auto-attendant. Should you need more, you can add up to 5 additional voicemail boxes, each with additional 7 dialing extensions for a monthly charge.

      A: We do offer the optional service to have your assigned phone number and business address listed with the local 411. There is a one-time setup fee and monthly listing charges.

      A: Suite Directory Listing monthly charges and offerings vary by location. This service places your company name on the physical directory at the office center.

      A: Copy of the credit card holder’s verifiable identification (e.g. Drivers’ License; Passport) is mandated for any service account. The setup and the first month’s service fee are charged when your information is received. Setup fees are service/package-specific. Virtual office setup requires a minimum of forty-eight business hours. A communications package most often will be live within twenty-four business hours. You will receive communications from our company alerting you to your account’s status, information verification and local office service details.

      A: Mail forwarding charges are incurred when we send your mail, packages, etc. Administrative charges may apply when staff reviews/handles mail outside of regular mail forwarding based on client requests. Call overages may also be incurred, as well as (international) long distance charges to connect your calls. When site faculties are utilized, such as copies and meeting space, charges are incurred.

      A: The general schedule for mail forwarding is weekly. All your mail that was received during the week is placed unopened into another envelope/packet (size dependent) and mailed to the destination you provided. In effort to save you money, we do not forward third-class mail consisting of advertising and/or addressed to `resident’ or `occupant,’ unless you specify on the Mail Handling Privileges form. If there is a time-sensitive mailing, we can adjust your schedule given you provide 24 business-hours notice. Other mail frequency and services may be available, location dependant.

      A: We accept deliveries from companies such as Federal Express, UPS, etc. for envelopes and packets (business documents) and are unable to accept any items exceeding 10 lbs in weight or larger than 11-7/8″ x 13-5/8″ or if the item contains any dangerous, live or perishable goods.

      A: Only when we send you your mail will you incur mail forwarding charges of cost plus handling.

      A: Virtual Office NYC phone numbers that are assigned to your account are the property of our telecommunications service provider for which you purchase the right to use through our Service Agreement. The number(s) is(are) yours strictly only during valid and active account term(s).

      A: Clients participate in automatic monthly credit card payments, where current month’s service fees are charged on the 1st. Only major credit cards are accepted for service payments. Cash and checks are not accepted.

      Client Services

      A: The following HOLIDAY LIST is observed for closures, and the Office has modified hours on certain days before and after certain holidays. Email communications are sent to clients as a reminder.
      A: A physical location to use for contact information and letters, packages, etc., that are sent or delivered by means of the United States Postal System.

      A: We have a staffed location to receive your Federal Express, UPS, etc. envelopes and packages. There are size and weight (no more than 10 lbs) restrictions.

      A: Collect your mail in person during office hours.

      A: Have your mail sent to you per your forwarding specifications detailed in the Mail Handling Privileges form. Additional charges apply.
